# Choosing Between a Freelancer and an Agency for B2B SaaS Content

 by [Muiz Thomas](https://www.seo-growup.com/blog/author/muiz-thomas)

Oct 24, 2026

TL;DR:

Hire a **specialist freelancer** when you already have a content strategy, a strong internal editor and a volume of one to three articles a month. Hire an **agency** when you need four or more articles a month, want someone to own planning, editing, SEO and reporting, and can’t spare the internal hours to manage writers.

## How Freelance Writers Compare With B2B SaaS Content Agencies

A freelance writer is an independent specialist you work with directly. A [content agency](https://www.seo-growup.com/b2b-saas-content-marketing-agency) brings together a team to handle writing, often alongside planning, editing and production.

In practice, you can get an excellent article from either. The difference becomes clearer when you look at how it gets produced. With a freelancer, your team will often organise the work around the writing. With an agency, more of that coordination usually sits with the provider.

**Here’s a closer look at the costs, responsibilities and support each can offer.**

| Area | Specialist Freelancer | B2B SaaS Content Agency |
| --- | --- | --- |
| Typical price per article | £300–£700. Check whether the fee covers writing alone or also includes interviews, SEO and supporting visuals. | £600–£1,500; premium £1,500–£3,000+. Check which planning, editorial and production services justify the higher fee. |
| Typical monthly retainer | £1,200–£3,000. May reserve a set number of articles or writing hours each month. | £2,500–£6,000. May combine regular articles with planning, editing and reporting. |
| Production management | You usually brief the writer, arrange expert input and keep reviews moving. Communication is often directly with the person writing. | An editor or account lead usually coordinates briefs, writers, deadlines and revisions. Your team still provides input and approvals. |
| Subject expertise | You can choose someone with a strong track record in your niche, such as payments or HR software, and work with them consistently. | May offer specialists across several categories. Check the experience of your assigned writer, alongside the agency’s broader portfolio. |
| Editing and fact-checking | A good writer checks their sources and edits their work. A separate editorial review may still sit with your team. | Often includes an editor who reviews the draft before delivery. Confirm who checks technical details, product claims and competitor comparisons. |
| SEO, visuals and publishing | Some writers include metadata and internal links. Graphics, keyword research and CMS uploads may need separate support. | These services may sit within the package, but “SEO content” does not automatically include custom graphics or uploading the finished article. |
| Production capacity | Based on one person’s available time and other commitments. Agree on a realistic volume, especially for research-heavy pieces. | Can allocate several writers to simultaneous assignments, provided it has the editorial capacity to review them consistently. |
| Internal management time | Allow time for briefs, product questions, draft reviews and publishing. Clear guidance and an established relationship can reduce that workload. | Can reduce day-to-day coordination when planning and editing are included. Product context, expert access and final approval still require your team. |
| Cover for absences | Illness or leave may affect delivery unless you have agreed on extra lead time or a backup arrangement. | May reassign work to another writer. Ask how the replacement gets up to speed on your product, audience and editorial guidelines. |

Neither option is better in every case. A freelancer suits focused, specialist work with direct collaboration, while an agency suits teams that want planning, editing and production handled together.

## When Should You Hire a Freelancer vs a B2B SaaS Content Agency?

It’s easy to hire a writer and then realise you also needed someone to brief them, edit their work and get it published. I’d settle those responsibilities before choosing between a freelancer and an agency.

**Here’s how I’d work through it.**

### 1. Audit Your Internal Capacity

I’d start by checking how much time your team can realistically give to content each month. Someone might already own briefs and editing, but those tasks still have to fit around campaigns, launches and everything else on their list.

**For each responsibility below, name an owner and estimate the hours they can commit.**

| Responsibility | What you need covered internally |
| --- | --- |
| Content strategy | Deciding which topics matter to your buyers and business |
| Brief preparation | Defining the audience, search intent, angle and product references |
| Editorial review | Checking the argument, supporting evidence, accuracy and tone |
| SEO and publishing | Reviewing metadata, internal links, visuals and the finished page |
| Performance measurement | Assessing results and deciding what to update or commission next |

If your team can prepare briefs, review drafts and publish on schedule, you may only need a freelance writer. If several responsibilities have no owner, look for a provider whose scope covers those gaps. That might be an agency with planning and editorial support, or a freelancer who explicitly offers those services.

### 2. Map Your Monthly Output

Next, list what you actually need published over the next three months. Include the format, deadline and research involved.

I’d be specific here. “Four articles a month” could mean four straightforward explainers or two software comparisons, an interview-led customer story and a technical guide. Those are very different workloads.

| Monthly requirement | An arrangement worth considering | What to confirm |
| --- | --- | --- |
| Two articles on closely related subjects | One specialist freelancer | Relevant expertise and reserved availability |
| Four articles across guides and comparisons | A freelancer with internal editorial support, or an agency | Who handles briefs, research checks and revisions |
| Eight articles across several formats | An agency or a coordinated freelance team | Capacity for writing, editing and approvals in parallel |

Also include real campaign deadlines. If six pieces need to go live before a product launch, ask about that workload upfront.

### 3. Allow Time for Management

Before deciding that your team can manage a freelancer, look at where that work will fit in the week.

Someone needs to answer product questions, arrange expert input, review drafts and consolidate feedback. Even an excellent writer can be left waiting if those responsibilities sit with an already stretched marketing lead.

Use a recent article to estimate the time involved:

- **Preparation:** How long did agreeing on the topic and producing a brief take?
- **Expert input:** Who arranged interviews and answered follow-up questions?
- **Review:** How much time went into editing, product checks and revisions?
- **Publication:** Who handled graphics, formatting and the final page checks?

Multiply that time by your planned monthly output. Then identify which tasks the proposed provider would take over.

**If the available hours are there, a freelancer may fit comfortably. If they aren’t, ask an agency to show exactly how it would reduce that workload.**

### 4. Test the Relevant Expertise

Once the workload is clear, assess providers against your most demanding assignments.

For an open banking guide, I’d want evidence that the writer understands the workflows and can work with credible technical sources. For an HR software comparison, I’d look for accurate feature distinctions and an understanding of what HR buyers need to evaluate.

**Ask for two or three relevant examples, then discuss how they were produced:**

- What did the writer research independently?
- Where did they need expert input?
- Who checked technical or product claims?
- What did the client need to supply?

A freelancer with deep category experience may need less explanation than a broader agency team. An agency may be useful when your programme requires several specialisms, provided those writers are available to you.

Choose based on the expertise assigned to your work.

### 5. Choose the Support You Need

By this point, you should have a clear list of responsibilities to outsource.

- **Hire a freelancer** if you need specialist writing and can manage planning, review and publishing internally.
- **Hire an agency** if you need several production responsibilities handled together and its proposal explicitly covers them.
- **Consider a hybrid setup** if you want a specialist freelancer for technical work and broader support for planning, editing or other formats.

## What to Expect After Hiring a Freelancer or Content Agency

Once you’ve hired a freelancer or agency, I wouldn’t expect them to start producing articles immediately. Even an experienced B2B SaaS writer needs time to understand your product, how customers evaluate it and what your marketing team considers publishable.

The first month should establish how you’ll work together, produce an initial article and give you enough evidence to decide whether to increase production.

### 1. Get the Handover Right

Before your first assignment, give your provider access to the materials they need. You don’t need to prepare a huge onboarding document, but I’d include:

- **Product context:** A demo or walkthrough, core features, use cases and relevant documentation.
- **Buyer information:** Your ICP, common objections and sales FAQs.
- **Existing content:** Three to five articles that reflect your preferred writing style and technical depth.
- **Competitive context:** Direct competitors, positioning differences and claims that need careful handling.
- **Working arrangements:** Your review process, communication channels and the people responsible for approvals.

For freelancers, your internal team will usually coordinate this. With an agency, ask your account lead who will receive the information and how it gets shared with the assigned writer.

### 2. Agree on First-Month Deliverables

The first month can involve more back-and-forth than expected, especially when the writer is learning a technical product or needs input from several people.

I’d map out the main deliverables, review dates and responsibilities upfront, so you’re not chasing a draft in week three only to discover the writer was still waiting for answers from your product team.

| Timeline | Freelance Writer | Content Agency | Your Team’s Responsibility |
| --- | --- | --- | --- |
| Week 1: Onboarding | Review product materials, writing guidelines and the first content brief. | Run a kickoff, review product positioning, assign the writer and editor, and agree on the production schedule. | Share product access, buyer information, content examples and approval contacts. |
| Week 2: Research & Drafting | Research the topic, clarify technical details and submit an outline or first draft. | Prepare or finalise briefs, coordinate research and interviews, and begin drafting. | Answer product questions, provide expert input and approve outlines where needed. |
| Week 3: Review & Revisions | Address editorial feedback, verify disputed claims and revise the article. | Complete internal editing, submit the draft for client review and coordinate revisions. | Consolidate feedback, check product accuracy and flag any missing information. |
| Week 4: Delivery & Planning | Submit the approved article and confirm availability for upcoming assignments. | Finalise approved deliverables, coordinate publishing where included and propose the next production schedule. | Approve the final article, review the working process and confirm next month’s priorities. |

### 3. Review the Actual Workload

A good first draft doesn’t always mean you’ve found the right provider. I’ve seen articles that read well but still need hours of work to correct product claims or make the argument relevant to actual buyers.

Before commissioning more content, I’d look at how much work your team had to put in to get that first article ready for publication.

- **Research:** Did they investigate the subject properly before asking for help?
- **Accuracy:** How many product claims or technical details needed correcting?
- **Feedback:** Did they understand your edits without repeating the same mistakes?
- **Coordination:** How much time did your marketing team spend managing the assignment?
- **Delivery:** Was the article ready within the agreed schedule and scope?

### 4. Decide Whether to Scale

At the end of the month, review the finished work with whoever managed the provider internally.

If the first article needed extensive rewriting, discuss the cause before commissioning more.

If the process worked well, agree on the next month’s volume, deadlines and responsibilities. I’d rather increase output after one strong production cycle than commit to eight articles before anyone has tested the relationship.

## Final Thoughts on Choosing a B2B SaaS Content Partner

I wouldn’t overcomplicate this decision. I’ve worked with enough content teams to know that sometimes a good freelance writer is exactly what you need. Especially when you already know what you want to publish, have someone who can review the work and simply need another experienced person to write it.

Where I’d reconsider is when your team spends as much time managing content as the writer spends producing it. At that point, you probably need a more structured approach to outsourcing content.

That’s exactly the problem GrowUp is designed to solve. We take ownership of the entire process, from the initial product research through to the final editorial review and SEO, so your team isn’t stuck playing copy editor.

If that sounds like what your team needs, [we’ve broken down our pricing](https://www.seo-growup.com/b2b-saas-content-marketing-agency#content_investment), what’s included and how we’d work together, so you can get a clearer picture before making any decisions.

## FAQs

Are freelance writers more cost-effective than content agencies?

They can be, particularly when you already have someone managing briefs, editing and publishing. A specialist freelancer charging £500 per article may offer better value than a £1,200 agency article if your team can handle the remaining work. But I’d calculate the cost of getting each piece published, not just the writing fee. If your content manager spends five hours fixing drafts and coordinating production, those hours belong in the comparison too. The cheaper option is the one that delivers publishable content at a reasonable total cost.

Do B2B SaaS content agencies deliver better ROI than freelance writers?

Not necessarily. The outcome depends on the topics being commissioned and whether the content reaches buyers at the right stage of their evaluation. A strong freelance writer producing useful comparison articles can generate more commercial value than an agency publishing generic educational content. Agencies may have an advantage when they also manage strategy, optimisation and reporting, but those services need to translate into results.

Should you pay a freelance writer or content agency upfront?

Paying upfront isn’t unusual, but I’d avoid paying for several months of work before you’ve established a working relationship. Freelancers may request a deposit or payment on delivery, while agencies commonly invoice monthly retainers in advance. Either arrangement can work. What matters is having the deliverables, payment dates, revision terms and cancellation conditions documented before money changes hands. For a first project, I’d favour a paid trial with a defined scope and approval process. That gives both sides a chance to assess the relationship without committing to a larger programme immediately.

Who owns the content produced by a freelancer or agency?

That depends on your agreement and the applicable copyright law, so I’d make ownership explicit before commissioning anything. Ideally, the contract should explain when intellectual property rights transfer, whether payment must be completed first and whether the provider can display the work in its portfolio. I’d also check ownership and licensing for original graphics, research assets and any third-party materials used in the article.

Can you work with freelance writers and a content agency simultaneously?

Absolutely, and it can make sense when you have different content requirements. For example, you might retain a specialist freelance writer for technical explainers that require deep product knowledge, while an agency manages SEO-led articles, buyer comparisons and regular production. I’d give each provider clear ownership of its assignments and keep one editorial calendar, brand guide and approval process across both.

When should a B2B SaaS company switch from freelancers to a content agency?

Consider switching when managing several freelancers starts taking meaningful time away from your team’s other priorities. Maybe your content manager is coordinating three writers, reviewing multiple drafts and trying to maintain a publishing schedule alongside campaigns and product launches. That’s a reasonable point to assess whether an agency could take on more operational responsibility. But I wouldn’t switch simply because you’ve reached a particular article volume. A well-managed freelance team can work for years. Look at editorial workload, missed deadlines, quality consistency and the additional support you actually need.

Is it easier to replace a freelance writer or switch content agencies?

Replacing a freelancer is often administratively simpler, especially if you’re working on individual assignments without a long-term agreement. Switching agencies can involve notice periods, transferring briefs, recovering reporting access and bringing a new team up to speed.
